Management Committee

Bellbowrie Kindergarten & Preschool values parent/carer involvement and participation. One way parents can participate is through the management committee.  As a Community owned centre operated by a Parent Committee, all profits are put back into the centre.

What is the Management Committee and what is its role in the centre?

The management committee is formed by parents of children currently attending. There are usually 8 positions on the management committee. The management committee meets once a month and is responsible for:

• General management and management of financial matters of the centre.
• Following the rules of the association/constitution lodged with the Department of Fair Trading.
• Ensuring the centre is meeting C&K affiliation standards so the centre continues to receive QKFS funding.
• The employment of all necessary staff and compliance with the provisions of any awards or other industrial requirements.
• Legislative requirements affecting the centre including the Child Care Act (2002), the Child Care Regulations (2003) and other legislation such as Child Protection and Workplace, Health & Safety legislation’
• Building and playgrounds, and
• Promoting the centre within the community.

Elections take place at the annual general meeting (AGM) usually early in the year and any decisions made by the management committee are based on a majority vote of the management committee. The executive of the management committee consists of the president, vice president, secretary and treasurer. Other positions which involve varying levels of commitment and specific skills also play an important role within the group.

Management Committee Roles And Responsibilities

President

• Provides leadership to the management committee
• Liaises with director
• Acts as chairperson at meetings
• Delegates responsibilities
• Ensures that decisions are made and carried through
• Acts as spokesperson to the public

Vice president / Maintenance Coordinator

• Supports the role of the president and adopts the president’s role in their absence
• Accepts responsibility for co-ordinating activities as required, in particular maintenance rosters.
• Oversees maintenance and repairs
• Records the names of parents who attend each maintenance roster

Secretary

• Prepares agenda for monthly meetings
• Records, types up and distributes to Management Committee minutes of all committee meetings
• Handles correspondence to present at committee meetings
• Ensure that all rules relating to meetings are complied with (i.e. notices, quorums and procedures)

Assistant Secretary

• Supports role of Secretary and adopts the Secretary’s role in their absence
• In conjunction with Director reviews and applies for grants where appropriate

Treasurer

• Presents a financial statement to each committee meeting giving details of all incomings and outgoings for the previous month
• Receipts incoming money/reconciles miscellaneous receipts as required
• Does the banking for the Centre
• Reports to the meeting on the current year budget
• Works in conjunction with finance administration officer

Work Health & Safety Officer

• Supports staff in meeting their due diligence requirements (i.e. assisting with annual WHS review)
• Ensures safety information is updated, in conjunction with the Director

Family Activities Coordinator

• Organises family activities of the Centre in conjunction with Director (eg. Art Show and Carols Night)
• Organises tea towels, recipe books etc. as desired by parents
• Collates of toy orders in conjunction with Centre staff

IT Coordinator

• Oversees management of Centre website in conjunction with Director
• Liaises with Director regarding management of security camera system

Committee members are strongly advised to attend the C&K Management Seminar held early in the year.
